Starting a New Student Chapter

Initial Requirements

It is recommended that you contact the ITS Texas Board of Directors prior to submitting any of the below information. They are available to answer questions and can provide you with information in addition to the resources listed below.

To discuss the start up process for initiating a student chapter, please e-mail Tony Voigt.

Individuals who wish to initiate a student chapter should collect and forward to the Chapter the following items: 

  • Description of your university or college’s transportation, traffic engineering, and/or ITS programs;
  • A list of five (5) students (graduate or undergraduate) who are petitioning to form the student chapter.
  • Name and contact information for individual(s) who will be serving as faculty advisor(s).
Additional Requirements
In accordance with the policies and regulations pertaining to student organizations at the host university or college, the student chapter must:
 
  • Follow all applicable rules and regulations for starting and maintaining a student organization.
  • Open and maintain an account for chapter funds.
  • The chapter will be required to prepare and submit a yearly report of activities as specified in the charter.
ITS Texas Board of Directors Response
Upon receipt of the above information, the ITS Texas Officers or Student Membership Committee will examine the documents and notify the Student Chapter contact and/or designated faculty member of approval/disapproval within 30 days.
 
Upon approval, the Board of Directors will:
 
  • Forward a letter to the faculty advisor authorizing the new chapter as a student chapter of ITS Texas under the conditions of operating under the charter and bylaws as established by ITS Texas.
  • Forward a charter under which the Student Chapter will operate. Information regarding officers (president, vice-president, etc.) should be forwarded to ITS Texas as soon as possible following approval of a new student chapter.
  • Forward a set of initial bylaws under which the Student Chapter will adopt and operate.
In the case of a negative vote on the formation of a new student chapter, the Board of Directors will respond in writing to the proposed faculty advisor as to the reason(s) for not authorizing a student chapter of ITS Texas.
 

ITS Texas Board of Directors Student Chapter Support

It is the policy of the ITS Texas Board of Directors to encourage the formation of student chapters of ITS Texas pursuant to the above requirements and in accordance with the policies and regulations governing student organizations at the respective university or college.
 
Contingent upon authorization of a new student chapter, it is the policy of the ITS Texas to support each newly approved student chapter with an initial stipend of $500 to assist with start-up and first year costs for the student chapter.
 
Contingent upon receipt and approval of the annual report of activities for each student chapter, it is the policy of ITS Texas to continue their ongoing support for each approved student chapter with a yearly stipend of $500 to assist with student chapter costs.
